Survey Process

 

The steps necessary to implement an effective survey are as follows:

 

Employee Survey Process

 

Stage 1: Design & Communication

 

Assess Client Needs

Quantum's Director or a Senior Associate will meet with you to discuss the organisational issues that you are facing.

Following this initial meeting / discussion, Quantum will send you a proposal outlining our deliverables, their proposed delivery dates and an indicative cost schedule.

 

Content and Design

Once appointed, Quantum will provide your organisation with a one-page KPI Checklist that lists the 43 Key Performance Indicators (KPIs) available to be measured, together with their supporting definitions.

These KPIs are based on international organisational development models and have been proven statistically reliable for 16 major industry sectors.

You will be invited to go through the KPI Checklist and indicate any additional areas of interest other than those already indicated as relevant during your initial meeting with Quantum.

Based on this information, a draft survey instrument will be prepared and submitted for your approval.

Quantum places top priority on establishing the needs of our clients and will often recommend an interview approach (Focus Groups) rather than a quantitative survey approach. Please visit Support Services for more information on Focus Groups.

 

Communication

Quantum will provide you with a series of aides to assist you in communicating the survey to employees. These include:

  • Briefing Notes on how to achieve a high response rate

  • A Survey Coordinator's Manual to assist Managers to advocate the benefits of the survey to employees and answer any queries

  • 10 Rules for Organisational Surveys to set out some of the rules necessary for Senior Management and HR Management to understand in order for the survey to be a success. These rules include: Objective Setting, Maintaining Confidentiality, Managing the Process, Turning data into information, Benchmarking and Action Planning

  • A sample "Letter from the CEO" explaining the purpose of the survey and encouraging participation

 

Stage 2: Administration

 

Printing, Programming and Testing

Once Quantum's programmers have developed the online survey instrument, it will need to be tested by a sample of employees to ensure that all features run smoothly within your organisation.

Quantum will then send you a link to the survey that will need to be sent to all employees invited to participate.

If hard-copy surveys are required, Quantum will print the finalised booklets and coordinate delivery to your organisation.

 

Deployment and Retrieval

Throughout the survey completion period, Quantum will ensure you are kept up to date with response numbers so that work areas with lower response rates can receive regular reminders.

Quantum's IT help desk is available to assist employees with any issues they may face while completing the survey.

Upon submission of completed surveys, responses are automatically transferred to Quantum's secure sever in Melbourne for compilation and analysis.

If hard-copy surveys are required, each survey will include a reply-paid envelope to enable anonymous feedback directly to Quantum.

 

Data Entry

This process is undertaken to a high degree of accuracy using programmes that monitor patterns to enable ongoing verification of data entry accuracy.
